Basic Instructions:
All applicants are advised to read and understand Rule 67, 67A & 67B of The Aircraft Rules, 1937 before proceeding to make entries in the e-logbook.
Entries once made and approved by competent authority are not amendable. Therefore, applicants are advised to log entries meticulously and check thoroughly before submission. CFIs/Dy CFIs/Competent Authority authorized by DGCA are advised to check the entries submitted before approval of the same and are equally responsible for the entries.
Note: All Applicant requesting for Conversion of Commercial Pilot License are advised to read & understand the following before filling up the e-Log Book

1. Option for filling up of e-log book is extended only for those applicants who have successfully registered on the eGCA platform.
2. Flying Experience gained in Indian FTOs for Issuance of PPL/ CPL and extension of aircraft AUW below 5700 Kg, Renewal of License/ Ratings, the applicants will select option 'Entries in respect of flying undertaken in Indian FTO' in the e-logbook for filling up of flying experience details.
3. For Issuance of ATPL (except for defense personnel), the applicants will select option "Scheduled/ Non-Scheduled/ General Aviation - Previous entries" for filling up of flying experience details including previous flying experience acquired at FTOs. Defense personnel are to make entries of the requisite flying experience for issuance of CPL/ ATPL in "Entries in respect of flying undertaken in foreign FTO/ Foreign ATO/ Indian ATO/ Defense Personnel".
4. Applicant who wish to avail service of Conversion of CPL/ ATPL, Extension of Aircraft Rating will select 'Entries in respect of flying undertaken in foreign FTO/ Foreign ATO/ Indian ATO/ Defense Personnel' in e-logbook for filling up of flying experience details as and when such services are being made available. (All entries of Aircraft in free text shall be in Capital only).
5. Details of each flight shall be filled meticulously in the fields provided in e-logbook and added separately in the e-log book. (With the exception of 300 NM and 250NM cross-country flights where details of more than one leg are required).
6. For Indian FTOs "Registration Number" & "Type of Aircraft" are based on the FTO selection. Aero-planes registered with a particular FTO will only be visible.
7. User can select either "Registration Number" or "Type of Aircraft". If "Registration Number" is selected then "Type of Aircraft", "class" and "category" will be auto selected based on the "Registration Number". If "Type of Aircraft" is selected then Registration Numbers will be filtered out based on the "Type of Aircraft".
8. "Pilot Functions" are based on the Type of Aircraft.
Process to Follow while selecting Pilot Function:-
Single engine Aircraft:
For Training Exercises:
-> Instructor will select PIC in his e-log book and will select the name of the Student.
-> Student will select Dual in his e-log book and will select the name of Instructor in "Name of PIC".
For Skill Tests:
-> Instructor/Examiner will select PIC in his e-log book and will select the name of Student.
-> Student will select P1/US in his e-log book and will select the name of Instructor/Examiner in "Name of PIC".
Note: if pilot is Sole occupant then 'Solo' option should be selected (PIC will be auto selected in this case).
Multi engine Aircraft:
For Training Exercises:
-> Instructor will select "Instructor" in his e-log book (PIC will be auto selected in this case) and will select the name of Student.
-> Student will select "Dual" in his e-log book and will select the name of Instructor in "Name of PIC".
For Skill Tests:
-> Instructor will select "Instructor" in his e-log book (PIC will be auto selected in this case) and will select the name of Student.
-> Student will select P1/US in his e-log book and will select the name of Examiner in "Name of PIC".
9. Multiple "Purpose for flight" can be selected by pressing "Ctrl" key continuously till all the selections are made.
10. If exercise performed during the flight is not listed in "Purpose for flight" then user can select "Others" option from the list and Specify the exercise performed in the subsequent field.
11. Rules For adding Cross Country flights for CPL/ ATPL/ IR.
PIC Cross country by day or by night:
-> The radial distance between point of departure and point overflown/ Landing point shall be equal to or greater than 100 NM. Details of cross-country flight by Night shall be as per Para 4 of section A, Schedule II of the Aircraft rules 1937.
-> Distance to be entered in "Distance field"- The radial distance (One way) between point of departure and point overflown (if mentioned) else distance of Landing point is to be entered.
-> The point overflown shall only be mentioned if the radial distance between point of departure and point overflown is equal to or greater than 100 NM.
Note: In-case a cross-country flight has more than one leg it has to be entered as two separate entries except for 300 NM and 250 NM cross-country.
300 NM PIC Cross-country:
-> First leg- The radial distance between point of departure and point overflown/ Landing point shall be equal to or greater than 100 NM. Total distance (Between Departure to arrival) shall be entered in the distance field.
->Subsequent legs- The distance between point of departure and point overflown/ Landing point may be less than 100 NM. However, the total distance shall be >= 300 NM.
->The point overflown shall only be mentioned if the radial distance between point of departure and point overflown is equal to or greater than 100 NM.
250 NM PIC Cross-country by day:
-> First leg- The radial distance between point of departure and point overflown/ Landing point shall be equal to or greater than 100 NM. Total distance (Between Departure to arrival) shall be entered in the distance field.
-> Subsequent legs- The distance between point of departure and point overflown/ Landing point may be less than 100 NM. However, the total distance shall be >= 250 NM. But such legs (< 100 NM) shall not be considered towards 20/50 hours PIC cross-country requirement.
-> The point overflown shall only be mentioned if the radial distance between point of departure and point overflown is equal to or greater than 100 NM.
120 NM PIC Cross-country by night:
-> The radial distance (One way) between point of departure and point overflown is to be mentioned in the distance field, If this distance is equal to or greater than 100 NM then the same will be counted towards 20/50 hours PIC cross country requirement also.
12. Rules For adding Cross Country flights for PPL.
150 NM SOLO Cross-country:
-> First leg- The radial distance between point of departure and point overflown/ Landing point shall be equal to or greater than 50 NM. Total distance (Between Departure to arrival) shall be entered in the distance field.
-> Subsequent legs- The distance between point of departure and point overflown/ Landing point may be less than 50 NM. However, the total distance shall be >= 150 NM.
-> The point overflown shall only be mentioned if the radial distance between point of departure and point overflown is equal to or greater than 50 NM.
100 NM SOLO Cross-country for PPL (H):
-> First leg- The radial distance between point of departure and point overflown/ Landing point shall be equal to or greater than 50 NM. Total distance (Between Departure to arrival) shall be entered in the distance field.
-> Subsequent legs- The distance between point of departure and point overflown/ Landing point may be less than 50 NM. However, the total distance shall be >= 100 NM.
-> The point overflown shall only be mentioned if the radial distance between point of departure and point overflown is equal to or greater than 50 NM.
PIC Cross country by day or by night:
-> The radial distance between point of departure and point overflown/ Landing point shall be equal to or greater than 50 NM. The radial distance (One way) between point of departure and point overflown (if mentioned)/ Landing point is to be entered in the distance field.
-> The point overflown shall only be mentioned if the radial distance between point of departure and point overflown is equal to or greater than 50 NM.
13. Time and date entered in the e-log book should be in the format as entered in Physical Logbook.
14. If flight is under taken in both day and night then user will have to specify duration of flight carried out both in day and night separately. Details of flight time by Night shall be as per Para 4 of section A, Schedule II of the Aircraft rules 1937.
15. In case of previous entries, if the then CFI/Dy. CFI of any FTO is no longer working for that FTO then applicant shall select the name of FTO and after filling up the details select the name of current CFI/Dy. CFI of that FTO in the "verification authority" field and submit for approval.
16. Any other necessary information can be enter in the "Comment" field.
17. Exercises with their respective flying experience requirements that should be selected while entering the flight experience in e-log book to be counted towards extension of aircraft rating:-

Instructions for filling of e-logbook for CPL (Helicopters)
1. Applicants shall make all the entries in the e-Log Book which are indicative of evidence of at least having met the requirement laid down in Section K and Section P of Schedule II, Aircraft rule 1937
eg:- At least 150 hrs. clearly indicating having met all the above requirements for CHPL and IR accordingly.
2. Applicant will have to select option "Entries in respect of flying undertaken in foreign FTO/ Foreign ATO/ Indian ATO/ Defense Personnel" to enter their flying experience on Helicopters.
3. Entries entered through "Entries in respect of flying undertaken in foreign FTO/ Foreign ATO/ Indian ATO/ Defense Personnel" will reflect in "submitted state" in View e-Log Book of the applicant until the applicant applies for any service and these entries are verified by DGCA officials (from Original Logbook of the applicant).
4. Applicant who wish to avail "Conversion of CHPL" service will mention the Name of their foreign FTO (In capitals) in "Name of FTO". (As and when the service is launched)
5. Defense personnel are to mention IAF/ IN/ INDIAN ARMY/ ICG as applicable (In capitals) in lieu of "Name of FTO".
6. In "Pilot Function" applicant will specify his pilot function which he performed during the flight and will specify the name of other Pilot in the subsequent field. If name is not present in the list then, applicant can select "Others" and specify the name (In capitals) in the field which appears.
7. Applicant will select "Training" (also applicable for defense personnel who is filling up his operational flight hours) and then the exercise Performed from the subsequent list. Additionally, details of the exercise may also be mentioned in the Comments column.
8. Applicant will select "Test" in e-Log Book to fill the details for Skill Tests Performed and then the name of test performed from the subsequent list.
9. In case the applicant does not have "Departure time" and "Arrival time" for the flight, Applicant will leave "Departure time" and "Arrival time" blank.
10. Applicant can mention the duration of flight directly in the "Duration of flight Day (HH:MM)" or "Duration of flight Night (HH:MM)" after selecting Shift time ("Day" or "Night" or "Both") first.
11. For type of Aircraft chetak/ cheetah enter SA 316/ 315 and for ALH enter DHRUV.

Instructions for filling Simulator e-logbook for Extension of Aircraft Rating.
1. Applicant will have to select option "Entries in respect of flying undertaken in foreign FTO/ Foreign ATO/ Indian ATO/ Defense Personnel" to enter their Simulator training details performed in ATO's or in foreign FTO.
2. To log the details of FFS or FBS Training sessions in simulator e-logbook, applicant can select "ATO" after selecting "Training" option in the simulator e-logbook.
3. To log competency checks performed on simulator, applicant will have to select "Test". Multiple exercises can also be logged together like for IR/PPC check Both "Instrument Rating" and "Pilot Proficiency Check" can be selected together by pressing "ctrl" key.
4. Attachments like FSTD Approval Certificate, Instructor/ Examiner Approval Certificate, Session Report are not required if already uploaded with previous entries done for fulling the requirement to avail respective Extension of Aircraft Rating exceeding 5700 Kg service.

Instructions for filling e-logbook for flying done with Indian Operators.
1. Applicant will have to select option "Scheduled/ Non-Scheduled/ General Aviation" to enter their flying experience.
2. To capture details of flight undertaken with Indian operator presently the option of "Previous entry" is to be selected. These entries are subject to validation by DGCA through Physical Logbook. The option of "Current entry" will be subsequently provided subject to provision of validation of entries by Indian operators.
3. Select "Commercial" Option for revenue and "Non-commercial" option for all non-revenue flights in previous.
4. Time and date entered in the e-log book in the format as per your physical logbook.
5. A pilot having a PIC rating on a single engine aircraft and not flying as Pilot-in-Command on that aircraft to log as Co-Pilot. Further, no credit for P1(U/S) flying, except for skill tests, will be given towards PIC for such pilots.

Instructions for filling PL e-logbook.
1. Entries for PL e-Logbook are applicable for availing services pertaining to gliders/ Microlight/ Light sport aircraft/ gyroplanes and balloons.
2. Applicant will have to select option "Entries for PL e-log book" to enter their flying experience.
3. Applicant can use "Others" option to fill the e-logbook details in case data related to Name of FTO, Registration Number, Type of Aircraft is not present in the system.
4. Entries filled by selecting "Others" in "Name of FTO" will not be sent for verification to CFI/ Dy. CFI and will be validated in DGCA.
5. Applicant will be provided to select the "Type of Launch" if "Glider" is selected in "Category".
6. In case any un-conventional launching method was used apart from "Winch Launch", "Power Launch", "Aero-tow Launch" then, applicant can enter the launching method after selecting "Un-conventional Launch" in "Type of Launch" option.
7. Applicant will be provided to upload skill test report on selection of test exercises (e.g. skill test, GFT ect.) in "Purpose".
8. Applicant will also be provided an option to enter "Altitude" and "No. of Ascents" if "Balloon" is selected in "Category".
